Class booking system for yoga, dance, fitness and sports clubs
Publish your timetable, let people book their place and keep the class register up to date, without a paper list at reception and without a spreadsheet.
One sign-up for the Monday class arrives by email, the next one on the answerphone, the third on Friday evening on the way out of the studio. By Sunday nobody is quite sure how many mats are still free on Monday. With Let's Meet your customers book their own place through a link or a QR code, and the attendee list is always current, even at two minutes to midnight.
Done!
You always know who is coming!
Let's Meet is free for up to 100 bookings a month!
Every booking and every cancellation lands in the same list, and the head count is right without recounting. For the instructor you export the register to Excel with one click, and anyone who cancels by phone is added by you. If you want, your customers can also see how many places are left before they book.
Anyone who has not replied to the invitation at all is reminded automatically once two thirds of the response time has passed. That lifts the reply rate noticeably. Shortly before the session (you can decide when), a second reminder goes out to everyone who has booked, which is the cheapest way there is to cut your no-show rate. If the class time shifts or the room changes, Let's Meet informs everyone who has booked.
With a taster session the number of curious newcomers is usually a surprise. You create a separate date with a limited number of places, put the QR code on the noticeboard and link it in your post about the club programme. You can even create an event for this without an account, the booking link then simply arrives by email.
With limited places it otherwise comes down to who happens to read the email first. You give your contacts one to three stars in your contact group and choose the invitation method "Favourites first" for the class. Your regulars are invited first, the next group a week later, and only while places are still free.
A Pilates class every Monday at 6 pm is one event series, not thirteen separate events. You create the series once, choose the interval, and the individual dates appear on their own. Each date inherits the design and the booking fields of the series, but keeps its own register. Everyone in the matching contact group is invited to every further date without you doing anything, which is what turns a series into a term course people can follow from week to week.
The same works for weekly team training, the Wednesday choir rehearsal, the Sunday morning running group or parent and toddler gymnastics at the club house. Before every date you can see who is coming, and if numbers look thin you can cancel in good time instead of standing in the hall with three people.
Event series belong to the free version. From Premium Lite you also get a dynamic link that always leads to the booking page for the next date. You put it on your website or in your Instagram bio once and never have to touch it again.
A fully booked class is only really full if everyone turns up. From Premium Lite, everyone who arrives after the last free place joins a waiting list. If someone cancels, the next person moves up automatically and is informed straight away, in the order in which they booked. You find out in the evening event report, but you do not have to do anything.
Premium Lite also gives you your own Let's Meet address with all your upcoming classes (see an example). You link it on your website once, and a filter can show a single class series only. On the day you take the register by scanning a QR code on your phone, and the check-in status ends up in the Excel export next to the bookings.
What all of them have in common is that this is about class registration and booking a place, not about running an online shop. You collect the class fee the way you always have, through the membership fee, an invoice or a class pass.
Most yoga class booking systems want to sell the class pass for you and charge accordingly. If you already handle the money yourself, all you actually need is the list of who is on the mat. You cap the places, people book, the register fills, and the waiting list takes over when the room is full.
Dance schools run in terms, and couples enrol as pairs. You set up the term as one event series, add a booking field for the partner's name, and every date carries its own register. Beginners' courses, workshops on a Saturday and the practice evening in between all live in the same account.
Spin, HIIT and circuit sessions live and die by the number of bikes and benches in the room. A fitness class booking system that caps places and reminds people the evening before does more for your attendance than any extra marketing. Bookings you take at the desk you simply add to the list yourself.
Swimming courses, holiday activity bookings and the training of individual sections all run through the same sports club booking system, each with its own contact group. Section leaders see their own register, and the club committee can export attendance across the whole season.
From the Basic Package your booking page and your invitations carry your logo and your colours, and you can ask for additional details such as previous experience or a membership number. If you also run training courses and seminars or organise a general meeting, those registrations run in the same account.
You create the class date, set the number of places and share the booking link, through your website, your newsletter, a message or a QR code on the noticeboard in the studio. Everyone who books lands in the attendee list automatically, and you can see how many places are still free at any time.
Through an event series. You create the class once, choose the interval, and the individual dates appear automatically. Each date gets its own attendee list and inherits the design and the booking fields of the series. Everyone in the matching contact group is invited to every date, which is what makes a term course workable without retyping anything. Event series are part of the free version.
Yes, and you do not even need an account for it: an event can be created without a login, and the administration link and the booking link then arrive by email. For a taster session you set the number of places to the number of free mats, put up the QR code and know in advance how many newcomers are coming. From the Basic Package you can also ask about previous experience or a phone number.
The free version of Let's Meet covers online booking, the automatic attendee list, event series, personalised invitations, reminder emails and the Excel export. It stays free of charge and covers up to 100 invitations and bookings a month. You need the Basic Package for your own studio branding, for additional booking fields and for classes with more than 100 participants. The waiting list, your own class list and QR check-in belong to Premium Lite.
No, Let's Meet does not process payments and is deliberately a booking and registration tool only. You collect the class fee the way you always have, through the membership fee, an invoice, a class pass or payment on the day. From Premium Lite you can mark fees you have received as paid in the attendee list and see who still owes something.
From Premium Lite, everyone who arrives after the last free place joins a waiting list. If someone cancels, Let's Meet automatically informs the next person on the list, in the order in which they booked. You do not have to do anything, and the class stays full even if somebody drops out two days beforehand.
No. Your customers open the booking link or scan the QR code, enter their details and are done. Neither a user account nor an app is needed, on a phone or on a laptop. Anyone who prefers to phone is added to the attendee list by you.
From the Basic Package you create your own fields for the booking form, as a single-line or multi-line text field, a drop-down list or a tick box, and every field can be made mandatory. For classes these are usually the question of beginner or advanced, a phone number, a membership number or agreement to your terms of participation. Health information is not among them, our terms and conditions do not allow it to be stored in Let's Meet.
There are two ways, and they work well together. In the free version you can open a contact group for self-enrolment, which gives you a link for your website: anyone who enters their address is invited to every future date of that class automatically. From Premium Lite you also get your own Let's Meet address listing all upcoming classes, which you link on your website or send out in your newsletter. A filter can show a single class series only, and a dynamic link always leads to the booking page for the next date.
You cancel the booking in the attendee list and the person receives a cancellation email, so that nobody quietly disappears from your register. From Premium Lite the place does not stay empty: the next person on the waiting list is informed automatically and moves up, in the order in which people booked.
From Premium the booking form runs directly on your own site, embedded as a frame, and it takes on your colours, your font and your own terms of participation. Your customers never notice that they are leaving your website. Below Premium you work with a link or a QR code instead, which is enough for most studios.
You set the number of places for every class yourself. In the free version a single class can hold up to 100 participants, and from the Basic Package that limit is lifted. Separately from this there is a monthly quota that counts invitations and bookings together: 100 in the free version, 350 with the Basic Package and 700 with Premium Lite.
