Organise your customer event, from the invitation to the guest list
Invite your guests, let them register online and know on the day who is actually standing in front of you. Even when none of them are in your address book.
With online registration from Let's Meet, every reply to your customer event ends up in one guest list that keeps itself up to date. The registration link works in an email invitation just as well as on your website, in a newsletter or as a QR code on your exhibition stand.
An open day with a hundred seats fills up quickly, and it would be a shame if your best customers were the last to hear about it. With the invitation method Favourites first you give the contacts in your group one to three stars and invite them in three rounds. You decide how much time passes between the rounds.
A round only starts while seats are still free. How invitation rounds work
Let's Meet is free for up to 100 registrations per month!
A name badge needs more than a yes. From the Basic package onwards you can add your own registration fields, such as company, job title, the number of accompanying guests or a choice between two parts of the programme. Every field can be set as required. If the field name starts with Visible:, guests can see the entry in the published guest list, which turns the company field at a networking event into a small piece of preparation for everyone.
All the seats are taken, and then three more people get in touch. With a waiting list you do not have to write a single refusal: latecomers keep registering, and as soon as someone cancels, the next person moves up automatically and hears about it by email. The order follows the time of registration, so you keep no second list and chase nobody by phone. This pays off most with formats that have a fixed group size, such as a factory tour or a workshop on the fringe of your open day. The waiting list is available from Premium Lite onwards.
Registered and present are two different numbers, and for the sales follow-up the second one counts. At the check-in you scan the QR code at reception, and the attendance list comes together by itself. The check-in status appears as a separate sheet in the statistics export, so after the event you know exactly who was there. The check-in is part of the Premium Lite package.
Anyone who invites regularly rarely has just one date in the calendar. From Premium Lite onwards you get your own Let's Meet URL listing all upcoming events, which can be filtered by name (see an example). You pass this one link on in your newsletter and your signature, and it stays valid when new dates are added in autumn. Internal events can be hidden from the public list.
Anyone inviting guests to an open day or an in-house exhibition wants to know beforehand how many people to expect. Registration runs through a link and a QR code, you cap the number of seats in the event, and everyone after that joins the waiting list.
At a customer day, a customer evening or a user group meeting, the guest list is what matters. You ask for company and job title during registration and export the list to Excel for name badges and seating.
A roadshow with several stops is set up as an event series. Each date gets its own attendee list while the description and the registration fields stay the same, and whoever signs up picks the right city. The same works for factory tours with fixed group sizes and for a recurring networking event.
And for a company anniversary or the opening of a new site, both come together: a mixed guest list of customers, neighbours and press, plus accompanying guests that nobody wants to count in their head. From the Basic package onwards, the limit of 100 registrations per month is no longer in the way.
An invitation to customers is a calling card. From the Basic package onwards you therefore design the registration page and the emails with your logo and your colours, and you can add your own terms of participation to the form.
From the Premium package onwards the registration takes place directly on your website and picks up the fonts and the look of your own site, so visitors never notice that a different piece of software is working in the background. Premium also includes sending through your own mail server: invitation, confirmation and reminder then arrive from the address your customers already know. If several sites or departments plan separately, Premium Enterprise covers up to ten organisers.
With the invitation method Favourites first. You give the contacts in your group one to three stars and select Favourites first with three rounds when you create the event. Only the three-star contacts are invited to begin with. After the interval you have chosen, the next round follows, but only while seats are still free. The method is part of the free version.
No. Whoever receives the invitation opens the link or scans the QR code, fills in the registration and is done. There is no sign-up and no app to install. Registrations that come in by phone or through your sales team, you add to the attendee list yourself.
From the Basic package onwards you can add your own registration fields as a text field, a drop-down list or a checkbox, and mark any of them as required. Typical fields for customer events are company and job title for the name badge, the number of accompanying guests, a choice between two parts of the programme, or a number plate for the gate. If a field name starts with Visible:, guests can see the entry in the published guest list, which works well for the company field at a networking event.
From Premium Lite onwards, further guests join a waiting list instead of receiving a refusal. If someone cancels, the next person on the list moves up automatically and is notified. The order follows the time of registration.

Premium also includes sending through your own mail server, so invitations and confirmations arrive from the address your customers already know.
Let's Meet does not sell tickets and does not process payments. Invitation, registration and guest list run with us, while you issue the invoice as before. From Premium Lite onwards you mark incoming payments in the attendee list as paid and can see at a glance who still owes you.
That is what Premium Enterprise with up to ten organisers is for, and it comes in two variants. In variant A everyone works with their own separate account. In variant B everyone shares one account including contacts and templates, and each event has its own organiser email address as the point of contact.
